![]() Insider Tips - 10 For the next two Insider Tips, we will look at some of the details that really give an event polish, and show the client just how organized and professional you are. Kaya Quill of Davidson Communications has a few recommendations on how to make sure the little things are nailed down from the start and contribute to the overall success of the big event. 1. Sign-in books for guests, particularly at the more relaxed types of events such as launch parties, are often used to track attendance. But partygoers would rather be shown to the bar than handed a ballpoint. Even if you can stop the stream of attendees long enough to have each person sign in, the signatures are generally illegible and so are the names of the companies or the media they represent. Instead, have a giant fishbowl at the entrance/exit where guests can throw their business cards and receive their "loot bags" - the little promo items that are so often given away at many of these functions. 2. Make sure that promo items at parties or receptions are easy for the guests to handle. You don't want to find all your very expensive, specially-made, little corporate paperweights resting in the flower arrangements after the guests have left. If you have to give them away at the start of the event (for example, at a private dinner because you'll lose track of your guests at the larger reception which follows), make sure the gifts can be tucked comfortably into evening bags or pockets, and that they'll make no noticeable bulges or otherwise ruin the look of someone's Armani. Best of all, try to arrange the evening so the giveaways come at the end. 3. Puh-leeze, if you need name tags for guests, don't get the ones that pin on, or stick on. Nothing is worse than presenting a pinned badge to someone wearing a new silk blouse. Also, make sure the guest's name and the name of the company they are representing, is large and legible on the badge. Finally, never ever buy those badges that are pre-printed with "Hello!
